3.1 How do we collect your personal data, what personal data do we collect, and why?
Under applicable law, all legal and financial service providers, including Pels Rijcken, are required to maintain data and/or documents that enable the identification of their clients. In this context, we collect personal data from clients, contacts of clients, witnesses, experts, opposing parties, contacts of opposing parties, lawyers and advisors of opposing parties, and persons whose personal data is part of a file.
Pels Rijcken collects specific information to comply with our legal obligation to verify the identity of our customer and to report unusual transactions. We do this pursuant to the applicable anti-money laundering legislation (Wwft), the Regulation on the Legal Profession (Voda), and the execution of the agreement. For example, we are required to check the status of identity documents and, in specific cases, to share information with the relevant authorities.
Finally, in the course of our client relationship, we may process data related to (contacts of) our clients.
Pels Rijcken processes this personal data to deliver the services we offer to clients. If the client is a natural person, our processing is based on the necessity for the performance of the contract entered into with the data subject. If the client is a legal entity, processing is based on our legitimate interest in performing the contract with the client (who is not itself the data subject).
3.2 How long do we keep your personal data?
Your personal data relating to the purposes described above in connection with the client relationship or relevant file/case is kept for up to 20 years.
3.3 With whom do we share your personal data?
Where relevant, we share your personal data with the Reporting Point for Unusual Transactions, collection agencies, relevant (tax) authorities within the EU, and third parties, insofar as this is required for the purposes described above or as these third parties assist us in these matters. The recipients of your data are located within the European Economic Area, under GDPR protection.
4. If you provide goods or services to Pels Rijcken
4.1 How do we collect your personal data, what personal data do we collect, and why?
When you or your employer delivers goods or services to Pels Rijcken, we process certain data that we obtained from you, such as your name, email address, and job title. We use this information to process invoices, for auditing by an accountant, or to fulfill legal obligations.
If the processing of personal data is required for executing the agreement, the supplier, if a processor, must accept the processing agreement proposed by Pels Rijcken.
We process this data for contractual execution. The basis for processing invoices is our legitimate interest in keeping Pels Rijcken’s financial records. In addition, we may process your personal data due to legal obligations.
4.2 How long do we keep your personal data?
Pels Rijcken does not keep data longer than necessary for carrying out the contract.
4.3 With whom do we share your personal data?
We only share your personal data with our accountant, with third parties such as the tax authorities if legally required, or with your explicit consent.

5.1 How do we collect your personal data, what personal data do we collect, and why?
If you visit the Pels Rijcken office, you must identify yourself. The reception staff checks your identity based on your passport or ID. After your appointment is confirmed, you are given a temporary access pass, and your name, the purpose of the visit, and the time of arrival and departure are registered in the system.
Cameras are present at the office and outside to monitor the entrance. This means that if you visit Pels Rijcken, you will appear in our surveillance footage. A specialized third party provides our security services. Security personnel monitor these images in real time and may access non-real-time images for 24 hours if we have reason to suspect irregularities. Security personnel can grant a limited number of designated individuals access to footage per security and camera policy. We use CCTV to ensure only authorized persons enter our offices, to protect our business interests, property, and staff, and to investigate and address irregularities. Where relevant, we also use footage to establish, exercise, or defend our (legal) position in (legal) proceedings. For CCTV use, we rely on our legitimate interest to protect our office from unauthorized access, especially due to the confidential information stored on-site.
5.2 How long do we keep your personal data?
If you visit the Pels Rijcken office, your name, purpose of the visit, and time of arrival and departure are stored for 48 hours. Camera footage is kept for 28 days. Footage is kept longer if it contains irregularities, for investigation purposes, per the camera policy, and then destroyed. 5.3 With whom do we share this personal data?
Only the professional third-party security provider has access to footage. In exceptional cases (e.g., criminal offenses), relevant footage is shared with the police, judiciary, or intelligence/investigative agencies. We may also share footage as evidence in legal proceedings with competent authorities and courts if legally required.
6. If you subscribe to Pels Rijcken newsletters or are interested in general information from Pels Rijcken
Pels Rijcken strives to meet client needs at the highest quality level. We share our knowledge, update interested parties on webinars and theme events, and send specialized newsletters. We process your personal data in our CRM system (Interaction) after your consent to send you information and invite you to events in your areas of interest.

We may collect information about you:

Pels Rijcken keeps:
- Your data after an application for up to 4 weeks after the end of the application process, if you withdraw or are not selected. After this period, your documents are permanently deleted.
- Your data after a recruitment event, if you have consented, for up to one year after the event, for other recruitment events and possible future vacancies.
- Your data is deleted if:
- Your email address is no longer active (for example, if error messages are received); or
- you withdraw consent for processing in connection with a recruitment event.
9.3 With whom do we share your personal data?
We use external service providers for applicant screening. Where relevant, we share your data with them to contact you.
Pels Rijcken does not share your personal data with third parties for commercial purposes. If we organize an event with another party, your relevant contact details will only be shared where necessary for organizing that activity.
10. Data Protection & Security
Pels Rijcken has one ambition: to perform at the highest level every day. Pels Rijcken always puts the client first. It is essential that the confidentiality, integrity, and availability of our client information is always guaranteed by managing the risks to which it is exposed in accordance with applicable laws and internal standards. Pels Rijcken’s information security policy is ISAE3000II certified and audited annually.

Pels Rijcken reserves the right to change this privacy statement at any time and for any reason and advises you to check this part of the website regularly.
12. Rights of data subjects
You can request information about and access to your personal data and you may object to our processing of your data. Further, under certain conditions, you may request rectification or deletion of your data, restriction of processing, or to receive your personal data in a structured, commonly used, and machine-readable format and to have your data transmitted to another organization.
